Setting up your different MYOB company files
If you run multiple businesses/branches and maintain separate MYOB company files for each one of them, our integration app supports the option of exporting into multiple MYOB files.
By default, your subscription with Innovent supports integrating with one single MYOB company data file. You can request us to enable support for multiple MYOB files. Contact us for information and pricing.
If your subscription already allows you to work with multiple files, then you will find a new option in the Configuration module of the app.
This is a dropdown containing your list of MYOB company file settings. By default, you will have one single file called "Default".
Click the green plus button to add a new company. You will be asked to give it a friendly name.
For example, we call this Sydney Office. This will add this new items to the dropdown.
Add as many MYOB files you require to this dropdown. (per your subscription with Innovent)
Each configuration item you add will have its own connection and export setting options.
Set a different MYOB connection for each company file.
Notes:
- You can also set different Connectwise connection parameters for each company file if you run a separate Connectwise database for each one of your businesses. If, on the other hand, you use the same Connectwise site for all of your businesses, then leave the connectwise connection settings the same for all of your companies.
- Export Settings can also be configured differently for each company file.
Exporting into multiple MYOB files
Once you have set up your different MYOB configuration settings, each one pointing at the corresponding MYOB file, you can now go back to the main screen. You will find the same MYOB file selector on the main menu bar.
You will be working on one MYOB setting at a time. Select the MYOB file from the dropdown you want to work with, and the list will refresh.
Then export your invoices, expenses or purchases as normal. Transactions will be exported into the MYOB company file of the selected MYOB setting.
Filtering what transactions get exported into each MYOB file
You will want to export different transactions into each MYOB file. Each corresponding to one of your businesses.
This can be done with any of the following options.
Option 1: If you use a different Connectwise site for each one of your businesses
If each one of your businesses runs on a separate Connectwise site, then simply connect each MYOB setting to the corresponding Connectwise site.
This way, when you run the export, every time you change the company selector you will see transactions (invoices, expenses and purchases) coming from the Connectwise site corresponding to that company. Then simply export as normal and these transactions will go into the designated MYOB file.
Option 2: If you use the same Connectwise site for all of your businesses
If you log transactions for all of your businesses in the same Connectwise site, a common way of keeping your transactions separate in Connectwise is with Locations.
You can set up your company locations in the My Company admin module. Under the Structure tab, you will be able to set up your locations.
With this company struture you can set up the Sales Territory for each invoice like this.
Now, back in our integration app, you will set up each MYOB file to the same Connectwise site:
For each company, go into the Export Settings --> Multiple MYOB Files tab.
The setting on this tab will allow you to indicate the Location that corresponds to the Sales Territory marked in the invoice. In this example, select the option to "Map the current MYOB file to this specific Sales Territory", and key in the name of the location: Sydney Office.
Repeat this process for every MYOB configuration.
With this, the list of invoices will fetch only those in the configured location for each selected MYOB file.
Important: The mapping of these locations will work for invoices only, and it will be based on the value found in the Sales Territory field of invoices. This is not available on Expenses or Purchases. So, under those tabs, you will have to manually select which transactions to export into each MYOB file. Note you will not be able to use our scheduled task automatic import feature when using the Multiple MYOB Company Files feature of our integration application
